Director of Finance and Administration
This position will report to the Executive Director, oversee the organization’s finance and administrative functions (including financial accounting, business planning and budgeting, human resources, and business administration), and act as a strategic partner in creating systems and processes that support growth and a capital fundraising campaign.
What you will do:
Financial Management
- Implement and manage a robust financial management and reporting system, creating and analyzing, and presenting thorough, accurate, and informative financial reports monthly, quarterly, annually, and ad hoc for the Board, Executive Director, and department directors.
- Coordinate and lead annual financial review/audit process, liaise with external auditors, finance committee of the Board of Directors, and Executive Director; assess any changes necessary.
- Oversee annual budgeting and financial planning process in collaboration with Executive Director and department directors; administer and review financial plans and budgets; monitor progress and changes, and keep leadership apprised of the organization’s financial status.
- Manage organizational cash flow and forecasting, with an understanding of deferred revenue and the associated reconciliation process.
- Conduct ongoing financial controls assessments, enhancing internal systems and procedures, ensuring that all accounting, bookkeeping, accounts payable/receivable, and bank reconciliations are organized and accurate in accordance with generally accepted accounting principles.
- Effectively identify issues, concerns, and opportunities; and advise Executive Director on critical financial matters.
- Track and correctly manage/monitor grants and restricted funds received.
- Act as a strategic partner to the Executive Director through growth related fundraising campaigns.
Human Resources and Business Operations
- Oversee preparation of payroll; shop, propose, and administer employee benefits; ensure human resources compliance; and oversee and manage external partners payroll processing/PEO vendor(s).
- Develop, implement, and oversee best in class hiring, onboarding, and employee development processes and systems to support on-going growth and a vibrant culture.
- Oversee and participate in basic administrative and office functions (including purchasing procedures, phones, business and IT systems, general supplies and equipment) to ensure efficient and consistent operations as the organization continues to grow.
- Update, implement, and maintain all required business and general liability insurance policies, bank accounts, government reporting, business and operating licenses, and contracts with major vendor partners.
- Ensure accuracy, completeness, and efficiency of use of corporate records, human resources documentation and files, financial and business records, and general filing systems.
- Recruit, hire, train, and directly supervise Finance & Administration Associate(s).
- Work collaboratively with Fox leadership team to ensure alignment with other department functions, and support overall organizational success and continuing positive impact of the Fox.

- Seasoned professional, with a minimum 7 years’ overall professional experience.
- At least 5 years of progressive financial management experience in a non-profit organization with an annual budget of $2 – $10M
- Successful track record in budgeting, cash flow oversight, financial reporting, and grants and restricted funds tracking.
- Expertise in QuickBooks Online or equivalent accounting software.
- Proven ability in monthly and annual accounting closes, reconciliation, and audits.
- Bachelor’s degree in Finance, Accounting, or Business Administration, or equivalent experience in a related field of study.
- Ability to thrive in a mission-driven environment with strong values and culture; passionately committed to Fox’s mission, vision, and strategic direction.
Preferred:
- Familiarity with performing arts organizations with ticketing, concessions, and varied contributed revenue.
- Understanding of deferred revenue accounting and reconciliation.
- Experience playing a key role in managing capital fundraising processes.
Salary Range: $72,800 – $88,400

Development Manager

The Development Manager is responsible for working collaboratively with the Executive Director and Director of External Relations to secure funds in support of our mission through philanthropic gifts, sponsorships, and grants. This position is responsible for implementing annual fund activities, carrying a portfolio of donors and sponsors, and overseeing management of constituent data. The person in this role is expected to conduct activities in alignment with mission, vision, and values, while meeting established goals. The Development Manager is a forward-facing representative of the Fox brand in person and in writing who is responsible for building relationships with stakeholders that move the goals of the organization forward.

What you will do:
- Implement department annual fund strategy focused on entry through mid-level donor cultivation and retention
- Cultivate, steward, secure gifts from, and build ongoing relationships with a portfolio of mid-level donors
- Manage implementation of the sponsorship program, including agreement preparation, documentation, execution and delivery of sponsor benefits
- Research prospective grant funders, write and submit grant applications in collaboration with team members, and ensure grant stewardship and reporting
- Assist in the implementation of department’s direct mail strategies
- Provide copy writing support for cross-channel fundraising activities
- Participate in and support fundraising and community relations events as assigned
- Assist with capital campaign initiatives as assigned
- Establish and maintain systems and processes for tracking donor interactions
- Manage donor data system and ensure data integrity
- Produce accurate reports and provide analysis of fundraising data
Qualifications
- Experience in fundraising with responsibility for implementing revenue generating initiatives independently
- Experience in identifying, cultivating, and soliciting prospects including individuals and corporations
- A record of measurable results in implementing such activities
- Experience related to CRM software, including management, reporting, and data analysis
- Excellent writing and editing skills
- Ability to maintain a positive attitude and calm demeanor in a fast paced, high-volume environment
- Ability to work independently and as part of a team, with a friendly, proactive, and problem-solving approach to work
- Proficient in MS Office Suite and digital tools, with ability to learn new programs as needed
- Ability to exercise confidentiality and discretionary judgment
- Exceptional interpersonal skills in written and spoken communication formats, and professional appearance and demeanor
- Work cooperatively with a diverse group of people and a wide range of personalities and skill levels
- Full-time hours required. Weekends and evening hours as necessary.
Who you are:
Top candidates will be experienced fundraising generalists with strong donor relations, database management, and communications skills.
- Minimum 3 years’ experience in nonprofit fundraising
- Bachelor’s degree or equivalent in closely related field, or equivalent experience

- Preferred: experience working in performing arts settings
Salary: $52,700 – $59,700 annually
