Job Description

The Communications Coordinator is a full‑time support and coordination role responsible for the execution and delivery of the Fox Tucson Theatre’s electronic marketing efforts, sponsorship fulfillment tracking, rental partner marketing services, and education program communications. This position focuses on coordinating defined communications activities, managing timelines, and ensuring accuracy, consistency, and follow‑through across external communications. Working closely with the Director of External Relations, the Coordinator collaborates with internal teams, rental partners, sponsors, and education staff to support the successful implementation of communications initiatives within established systems and processes.

Requirements

Minimum two (2) to three (3) years of professional experience in communications, electronic marketing, marketing coordination, or project support. Experience in performing arts, entertainment, or nonprofit organizations preferred. Minimum Education: Bachelor’s degree in communications, marketing, or a related field preferred; equivalent professional experience considered.

Schedule and Start Date

Full-time. Regular office hours. Desired start date no later than April 27th.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The following duties are representative but not all‑inclusive.

Communications

  • Manage electronic marketing communications, including copywriting, basic design coordination, and distribution across established platforms
  • Support organizational initiatives, including comprehensive email communications, promotional collateral coordination, and event-related marketing as needed
  • Serve as the primary point of contact for day-to-day marketing services provided to Fox rental partners, ensuring timely coordination and brand alignment
  • Coordinate communications for the Fox’s education programs, ensuring education-related external communications are accurate, timely, and up to date

Administrative, Project Coordination, and Sponsorship

  • Maintain basic calendars for communications and marketing schedules
  • Manage marquee calendar content and ensure timely and accurate updates
  • Review and confirm accuracy of external-facing content related to Fox-presented activities
  • Coordinate and track sponsorship benefits fulfillment, ensuring deliverables are completed, documented, and communicated internally
  • Maintain a small portfolio of sponsorship sales under the guidance of the Director of External Relations, supporting prospect outreach, proposal coordination, and fulfillment follow‑through

Shows, Events & Community Engagement

  • Provide exceptional patron service as part of the event day External Relations team, including on-site support, parking fulfillment, gift distribution, pre-show activities, and other assigned duties
  • Serve as staff support for Fox special events
  • Facilitate the Fox’s participation in community engagement events, outreach activities, and tabling opportunities

QUALIFICATIONS:

  • 2–3 years of experience in communications, marketing coordination, or related work. Experience with eblasts, graphic design, and MS Office Suite preferred.
  • Working knowledge of digital and electronic marketing tools
  • Experience with email marketing, copywriting, proofing, and basic production workflows
  • Strong organizational skills and attention to detail
  • Ability to manage multiple tasks concurrently and meet deadlines
  • Ability to work independently within established processes

Job Description

This position focuses on providing hands‑on production support, coordinating playbill and other in-house visual communication materials, assisting with video asset preparation, and supporting event‑related requirements, while ensuring accuracy, consistency, and timely completion across print, digital, and on‑site applications. Reporting through the External Relations team and working closely with the Principal Graphic Designer, the Coordinator supports defined production workflows and marketing initiatives by managing assets, preparing materials, coordinating timelines, and assisting with day‑to‑day visual execution. This role serves as a key production resource, operating within established creative direction, providing executional and logistical support rather than serving as a lead creative or brand‑strategy role. 

Requirements

Minimum two (2) to three (3) years of professional experience in graphic production, visual communications, marketing coordination, or a related role; experience in performing arts, entertainment, or nonprofit environments preferred. Associate’s or Bachelor’s degree in graphic design, communications, marketing, or a related field preferred; equivalent professional experience considered.

Graphic Design & Production Coordination

  • Coordinate and execute assigned graphic production tasks under the direction of the Principal Graphic Designer, including routine layout updates and production formatting
  • Produce and prepare visual materials for print and digital use, including posters, flyers, signage, event displays, and internal collateral
  • Manage production timelines and coordinate file preparation for printing, distribution, and installation
  • Maintain organized digital assets, templates, and project files to support efficient production workflows
  • Perform quality control checks to ensure accuracy, visual consistency, and adherence to established brand standards

Playbill & Program Production

  • Coordinate the production of playbills and event programs from content readiness through final printing
  • Manage updates to program templates, layouts, and recurring information
  • Collaborate with internal partners to ensure sponsor acknowledgements, credits, and required content are accurate and complete
  • Support print production logistics, including file preparation, proofing, and coordination with vendors to ensure accurate and on-time completion

Video & Multimedia Asset Support

  • Edit and prepare short-form promotional video assets for digital, social, and on-site use, including trimming, formatting, captioning, and resizing for various platforms
  • Support the organization and maintenance of video and multimedia libraries
  • Coordinate visual assets for electronic marketing efforts and on‑site display needs as assigned

Marketing Campaign Support

  • Assist with visual components of marketing campaigns, including image preparation and layout support under established direction
  • Support routine updates to promotional materials for Fox‑presented shows, rentals, education programs, and community initiatives
  • Conduct copyediting and visual proofing to ensure clarity, accuracy, and alignment with brand standards
  • Provide administrative and production support as directed for paid media and advertising buys, including asset preparation, communication with vendors, and documentation of placements.

Events, Shows & On‑Site Support

  • Serve as part of the event‑day External Relations team, providing on‑site support related to visual setup, patron experience, and marketing fulfillment
  • Support Fox special events, donor activities, sponsorship activations, and community engagement initiatives
  • Assist with off‑site outreach and engagement events, including signage placement, materials distribution, and visual presentation
  • Work evenings and weekends as required based on performance and event schedules

Qualifications

  • Proficiency in using Adobe Photoshop, Illustrator, or InDesign to support day‑to‑day graphic production and visual communications tasks in accordance with established templates, brand standards, and production requirements.
  • Working knowledge of video editing and basic motion content workflows, with experience editing short‑form promotional videos (e.g., cropping, formatting, captioning, resizing, and adding localization information) for multiple platforms and delivery requirements using tools such as Adobe Premiere Pro, After Effects, Final Cut, or comparable software
  • Understanding of print and digital production workflows
  • Strong organizational skills with the ability to manage multiple priorities and deadlines
  • High attention to detail with a commitment to accuracy and quality
  • Ability to work independently within established processes and collaborate across teams
